Do the activity, then file the reports
Submit the post-activity report and an itemized expense summary on letterhead with invoices and proof of payment within 45 days of the activity's end; the second payment is issued after review.
~4 hrs
The 45-day rule is the one that sinks people: file before you book the booth or the flights, and do not attend the show until the signed contract is back. Keep every invoice and proof of payment, because the second payment is not released without them.
Deadline & timing
"Applications must be submitted at least 45 days before the start of eligible activities." The fiscal year runs July 1 to June 30, and the final chance to submit reimbursement requests each year is June 15. Reimbursement requests are due within 45 days of the activity's end date (the disqualification list uses 30 days; send them as early as you can).
